This Privacy Policy explains how PIJ Holdings LLC, doing business as Coordinate Studio(“coordinate.studio,” “we,” “us,” or “our”), collects, uses, discloses, and protects personal information when you visit coordinate.studio, use our client portal, or otherwise interact with our services (collectively, the “Services”). It also describes the rights you have over your personal information.

1. Who we are

coordinate.studio is a studio building AI-powered systems for home service businesses, operated by PIJ Holdings LLC, a limited liability company organized under the laws of the State of Kansas, United States. For privacy questions or to exercise your rights, contact us at parker@coordinate.studio.

2. Information we collect

We collect the following categories of personal information:

  • Information you provide. Your name, email address, phone number, business name, project details, and any other information you submit through our contact forms, intake questionnaires, free-tool requests (speed test, SEO audit), or when communicating with us.
  • Account & portal data. If you have a client portal account, we store your login credentials, the projects associated with your account, change requests, approvals, uploaded files, and related communications.
  • Payment information. When you pay for services, payment is processed by our payment processor (Stripe). We do not store full card numbers; we retain limited billing details such as your name, billing contact, and transaction history.
  • AI chat conversations.When you use our AI chat assistant (“Nate”), we collect the messages you send and the conversation history. Please do not enter passwords, payment details, or confidential information into the chat.
  • Usage & device data. When you visit the site we automatically collect information such as your IP address, browser type, device type, pages viewed, referring URLs, and interactions — collected through analytics cookies only after you consent (see our Cookie Notice).

3. How we use your information

  • To provide, operate, and maintain the Services and client portal;
  • To respond to inquiries, quotes, and free-tool requests;
  • To deliver projects, process change requests, and manage approvals;
  • To process payments and send invoices and billing notices;
  • To analyze and improve our website and services (only with your consent to analytics cookies);
  • To send service-related and, where permitted, marketing communications;
  • To comply with legal obligations and enforce our agreements.

4. Legal bases for processing (EEA/UK)

If you are in the European Economic Area or the United Kingdom, we process your personal data under one or more of the following legal bases: performance of a contract (to deliver Services you request), consent (for analytics cookies and marketing), legitimate interests (to operate and improve our business), and legal obligation (e.g., tax and accounting records). You may withdraw consent at any time without affecting prior processing.

5. How we share information

We do not sell your personal information. We share it only with service providers (“subprocessors”) who process data on our behalf under contract, and where required by law. Our key subprocessors are:

  • Vercel, Inc. — website and application hosting.
  • Convex, Inc. — backend database and application data storage.
  • Amazon Web Services, Inc. — file/asset storage and backups (Amazon S3).
  • Stripe, Inc. — payment processing.
  • Resend — transactional and notification email delivery.
  • Google LLC — website analytics (Google Analytics 4), loaded only after you consent.
  • Anthropic, PBC— the large-language-model provider (Claude) that powers the “Nate” chat assistant; chat messages are sent to Anthropic’s API to generate responses.

We may also disclose information to comply with legal process, protect our rights, or in connection with a merger, acquisition, or sale of assets (you will be notified of any such change in ownership of your data).

6. International transfers

We are based in the United States and our subprocessors may process data in the United States and other countries. Where personal data is transferred out of the EEA or UK, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

7. Data retention

We retain personal information for as long as needed to provide the Services, maintain your account, comply with our legal obligations (such as tax and accounting requirements), resolve disputes, and enforce our agreements. When data is no longer needed, we delete or anonymize it.

8. Your rights

Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information; to object to or restrict certain processing; and to withdraw consent. To exercise any of these rights, email parker@coordinate.studio. We will respond within the timeframe required by applicable law.

California residents (CCPA/CPRA):You have the right to know what personal information we collect, to request deletion, to correct inaccurate information, and to opt out of any “sale” or “sharing” of personal information. We do not sell your personal information. You will not be discriminated against for exercising your rights.

9. Children’s privacy

Our Services are not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

10. Security

We use reasonable technical and organizational measures to protect personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will revise the “Last updated” date above and, where appropriate, provide additional notice.
